Generative Artificial Intelligence Guidelines

Campbell County Public Schools Generative Artificial Intelligence Guidelines 

Purpose: To provide clear guidance for the responsible, ethical, and effective use of generative artificial intelligence (AI) in Campbell County Public Schools (CCPS), both in instructional settings and across school operations. 

The Campbell County School Board recognizes the growing influence and potential of AI technologies, particularly generative AI, which is defined as tools capable of producing content such as text, images, code, audio, or simulated data. When implemented thoughtfully, AI can support instructional planning, personalize learning experiences, enhance student engagement, and streamline operational tasks. 

At the same time, the challenges posed by these tools include risks related to data privacy, misinformation, academic dishonesty, and bias in algorithmic systems. These guidelines seek to ensure AI is used in a manner that protects student well-being, promotes academic integrity, and supports, rather than replaces, the professional role of educators. 

CCPS is responsible for establishing AI Use Guidelines for instructional staff, appropriate uses, ethical considerations, and protocols for integrating AI tools into instructional practices. These guidelines will be reviewed and updated to reflect advancements in AI and instructional needs. It is the responsibility of all instructional staff to be familiar with and adhere to the following AI Acceptable Use Guidelines for Instructional Staff. 

AI Acceptable Use Guidelines for Instructional Staff Include: 


  • AI tools may be used to support and enhance learning experiences, including research assistance, brainstorming ideas, tutoring, and improving writing and grammar 

  • Integration of AI to personalize learning experiences and generate classroom resources 

  • Providing targeted student feedback 

  • Instructional planning and curriculum design 

  • Differentiated instruction and improving accessibility 

  • Generating communication templates for parent/family engagement 

  • Professional learning and development 

  • Generating educational materials such as quizzes, lesson plans, writing prompts, and rubrics 

  • Educators will provide guidance on how to incorporate AI ethically into academic work and will evaluate AI use as part of the learning process 


 

All content generated by AI must be: 


  • Reviewed for factual accuracy and age appropriateness 

  • Avoid reinforcing bias or discriminatory content 

  • Aligned with CCPS educational goals and values 

AI Use Guidelines for Students will outline appropriate uses, ethical responsibilities, and protocols for engaging with AI tools in educational settings. These guidelines support safe, responsible, and effective use of AI to enhance learning while maintaining academic integrity and digital citizenship. Students may use AI as a learning aid, not a replacement for their original thought. They are expected to be familiar with and follow the AI Use Guidelines, as well as the broader Technology Use Guidelines, to ensure responsible and appropriate use of AI resources in all academic activities. 

AI Acceptable Use Guidelines for Students Include: 


  • Students may use AI for brainstorming ideas, generating study guides, practicing problem-solving, and gaining a deeper understanding of subject matter. 

  • Practicing skills, solving sample problems, or receiving tutoring 

  • Refining writing, grammar or understanding complex topics 

  • Leveraged as a learning aid rather than a replacement for human effort 

  • Students are encouraged to use AI responsibly to develop critical thinking and problem-solving skills. 

  • Students will be encouraged to critically evaluate AI-generated content and consider its reliability and relevance. 


 

All student use of AI must: 


  • Be approved by a teacher or instructional staff 

  • Follow academic integrity and digital citizenship guidelines 

  • Include proper citation when AI output contributes to an assignment 

  • Be developmentally appropriate 


 

Prohibited Use of AI 


  • Submitting AI-generated content as one’s own work without proper attribution is strictly prohibited. 

  • Using AI to complete assignments, write essays, solve problems, or perform any task without original student contribution is considered academic dishonesty. 

  • Misrepresenting AI output as personal knowledge or effort in assessments, quizzes, or exams is not allowed. 

  • Inputting sensitive or private student data into non-approved platforms 

  • Generating content that is discriminatory, violent, or otherwise inappropriate 


 

Data Privacy and Security: 

CCPS is committed to protecting student privacy and ensuring compliance with federal and state data protection laws, including the Family Educational Rights and Privacy Act (FERPA), the Children’s Online Privacy Protection Act (COPPA), and Virginia Code § 22.1-289.01. AI tools used in educational environments must adhere to the highest standards of information security, transparency, and ethical use. 

AI tools used in the district must: 


  • Clearly define what student personal information is collected, used, stored, and shared 

  • Be subject to district review of their terms of service and privacy policy 

  • Use secure data encryption and security safeguards 

  • Prohibit targeted advertising and unauthorized sharing of data 

  • Offer transparency and parent access to student data on request 


 

To protect personal information, the following types of data must not be entered into AI tools unless explicitly approved by the district: 


  • Personally Identifiable Information (PII): Student names, addresses, phone numbers, email addresses, dates of birth, and Social Security numbers. 

  • Educational Records: Grades, test scores, disciplinary records, Individualized Education Programs (IEPs), and 504 plans. 

  • Sensitive Personal Information: Health records, biometric data, and any data related to race, ethnicity, religion, or sexual orientation. 

  • Behavioral and Location Data: Real-time location tracking, behavioral assessments, and surveillance footage. 


 

Vetting and Approval of AI Tools 

Before integrating any AI tool into the educational environment, CCPS will: 


  • Conduct Privacy Impact Assessments: Evaluate how the AI tool collects, uses, stores, and shares data. 

  • Review Terms of Service and Privacy Policies: Ensure that the tool complies with FERPA, COPPA, and PPRA regulations. 

  • Obtain Parental Consent: When required, especially for students under the age of 13, as mandated by COPPA. 

  • Maintain a District-Approved List: Only AI tools that have undergone this vetting process will be approved for use within CCPS. 


Training and Awareness 

CCPS will provide ongoing training to educators and staff on: 


  • Data Privacy Laws: Understanding FERPA, COPPA, and PPRA requirements. 

  • Ethical use of AI: Schools will provide instruction on the ethical use of AI, including recognizing and mitigating biases, understanding its limitations, and identifying potential misinformation. 

  • Data Security: Schools will implement secure data practices, including data minimization, anonymization, and strict security protocols for handling student information. 

  • Teachers will model and teach: 

  • Guide students in critically analyzing and integrating AI output 

  • Integrate AI discussions into appropriate curriculum areas (e.g., research, digital citizenship, media literacy) 

  • Responsible and respectful AI use 

  • Critical thinking when interpreting AI-generated content 

  • Reflection on appropriate use of AI across content areas 

  • Responsible sourcing and citation 

  • Bias detection 

  • Understand the limitations, biases, and risks of AI 

  • Ethical implications of AI 


Enforcement and Consequences 


  • Violations of the AI Acceptable Use Guidelines may result in disciplinary action as outlined in the CCPS Student Code of Conduct, including potential restrictions on access to AI tools and consequences for misuse or data breaches. 

  • Violations of the AI Acceptable Use Guidelines will be addressed in accordance with the school’s academic integrity policies. 

  • Consequences may include receiving a failing grade on assignments, disciplinary action, or further education on responsible AI use. 


Review and Updates: 

Due to the rapid development of AI technologies, these guidelines and its associated procedures will be reviewed annually by the Superintendent or designee, and updated as necessary to reflect current educational, legal, and technological standards.
